Main purpose of position
To organise all internal and external examination processes, in liaison with staff, students and examination boards, to ensure that all students are entered and scheduled appropriately for examinations. To administer all internal and public examinations according to the published guidelines and procedures, ensuring all regulations are followed by the examinations staff and all students are provided with the necessary materials and arrangements to optimise their exam success.
This role is key in supporting the smooth running of all examination processes, across national satellite centres in accordance with the Joint Council for Qualifications (JCQ) and/or awarding body rules.
Key responsibilities and duties
Examination Coordination:
- Administer registration to awarding organisations including booking, preparing and dispatching exams and assessment examination materials where required, physically or electronically.
- Maintain a tracking log of examinations taken, certificates received, and distribution of the results and certificates to learners.
- Input data into the student record system on learner achievements ensuring high levels of accuracy and the integrity of this data
- Ensure actual end dates of students are accurately recorded on ILR to assist with achievement data collection.
- Ensuring the centre and associated national satellite centres are compliant with the JCQ regulations and awarding body requirements to always ensure the security and integrity of the examinations/assessments.
- Organise appropriate supervision of examinations at the college and other locations in the UK.
- Administer timely certification of all qualifications.
- To oversee the stocks of examination stationery.
- To always respect the high level of confidentiality required in handling personal data related to students, and all examination paperwork/results.
Communication and Collaboration:
- Liaise with a wide range of internal and external stakeholders, including students, parents, Heads of Departments, teachers, reception staff, site staff, IT staff, and awarding organizations.
- Stay informed about examination changes each academic year.
- Keep up to date with the latest awarding body rules and procedures.
- Provide certification/achievement information for Head of Centre as required in relation to both internal and external audits.
- Support the Learning Support Manager in implementing examination access arrangements and reasonable adjustments for eligible candidates

Qualifications & experience
- Previous experience in administration.
- Level 2 equivalent in English & Maths.
- Demonstrable experience in working to tight deadlines.
Desirable skills & qualifications
- Experience within education/work-based learning, or systems administration, in particular, Pro Suite Package, POP Assessment tools.
- Business Administration/ IT qualification or similar at level 2 or above
- Knowledge of ESFA funded provision guidelines.
- Keen aptitude for business improvement
- Working knowledge of the JCQ regulations
